HOW CRAYON WORKS

One core. Shaped around your business.

Every Crayon customer runs on the same core software in their own isolated environment. Setup configures the vocabulary, pricing rules, job fields, workflows and enabled modules to match how that business operates. The core is maintained and improved centrally, so configuration never means being left behind on updates or security.

THE PROBLEM

Most software hands every business the same system.

A cleaning company, a plumbing firm and a physio clinic all get the same screens, the same words and the same rules, and each one is expected to adapt. So they work around it: a spreadsheet here, a group chat there, a field called something nobody uses. Crayon starts from one proven core too. The difference is that the core is configured to the business, not the other way round.

STEP 01

Start from a proven core.

Everyone gets the same software. It already runs live service businesses, and it covers the work every service business has in common.

Bookings

Online booking with live pricing, one-off and recurring.

Scheduling and dispatch

Who is doing what, where, today and next week.

Customers

Addresses, history, notes, access details and preferences.

Checklists and photo proof

Task lists per job, with timestamped photos attached.

Invoicing and payments

Invoice on completion, take card payment, chase what's late.

Team roles

Owners, office staff and field teams each see their own view.

Customer portal

Customers rebook, reschedule, pay and see their history.

Built-in AI

Runs day-to-day work, and adjusts the software itself.

STEP 02

Shape it to your business.

Setup is configuration, not development. Four things get set to match how the business already runs: what it calls things, how it prices work, what each job needs to capture, and which modules are switched on.

Vocabulary

Every label in the software uses the words the business already uses out loud.

Pricing rules

Per room, per hour, per fixed job, plus extras, callout fees and minimums.

Job fields

The information a job must capture before it can be marked complete.

Modules

Recurring schedules, photo proof, portal, parts and stock. On or off.

THE SAME SCREEN, TWO BUSINESSES

Both of these are the same core software running the same job screen. Nothing has been rebuilt. The words, the fields and the pricing rules are configuration.

A CLEANING COMPANY

Calls them cleans. Prices per room with extras. Every clean needs before-and-after photos.

A PLUMBER

Calls them jobs. Prices callout plus hourly. Every job records parts used and compliance paperwork.

A CLINIC

Calls them appointments. Prices per fixed service. Every appointment needs consent on file and a practitioner assigned.

Three businesses, three sets of words, three pricing models, one piece of software. None of it is a separate version of Crayon.

STEP 03

Keep changing it.

A business at month twelve does not run the way it did at month one. Crayon's built-in AI adjusts wording, labels and settings on request, and shows you the change before it applies. Bigger requests come back as a priced ticket with a quote rather than a dead end.

WHAT STAYS THE SAME

Configuration is data. The software underneath is one product.

When a business is configured, nothing is forked or copied. The settings are stored as data against that business, and the software reads them. That distinction is the whole reason Crayon is packaged software rather than a development project, and it's what protects you.

Everyone gets every update

New features ship to the core, so they reach every business at once. No one is stranded on an old version because their setup was unusual.

Security work covers everyone

Patches, audits and dependency updates are done once, centrally, and apply to every environment on the platform.

Fixes reach you immediately

A bug found by one business is fixed for all of them. You are not waiting for someone to schedule work on your copy.

Your setup is reversible

Because configuration is data, it can be changed, logged and rolled back. Changing your mind costs a setting, not a rebuild.

YOUR OWN ENVIRONMENT

One core, but not one shared pile of data.

Each business runs in an isolated environment with its own database, under its own brand and domain. Your customer addresses, notes and payment records sit in your environment and nowhere else.

Your own branded platform →

Twenty minutes. Bring the way you actually work and we'll set the core to match it while you watch.
