THE WORK
Most cleaning companies run all of these at once, and each one prices, schedules and finishes differently. Software that treats them as one generic "job" is where the workarounds start.
Weekly and fortnightly cycles with the same cleaner where possible. Set the frequency once and every occurrence appears with the property's own details: bedrooms, lockbox code, the dog, where to park.
One-offs that take two to three times as long as a regular clean and reach what a regular clean skips: inside the oven, behind appliances, window tracks, skirtings. Priced and timed as their own thing.

BOOKING AND PRICING
Cleaning is quoted on the property, not the hour. Crayon prices from the rules you already use: a base rate per bedroom and bathroom, extras like inside oven, inside windows or a fridge clean, a surcharge for a first clean, a discount for weekly over fortnightly.
The customer answers a few questions and sees a real number before they confirm. Because it comes from the same rules the office uses, the price on the screen is the price on the invoice. Most job-management software can't do this: it books a job and leaves the quoting to you.
PHOTO-PROOF CHECKLISTS
Every cleaning company that does end-of-tenancy work knows this call. Eight days after the clean, a property manager says the oven wasn't done and the tenant is short on their bond. Your cleaner remembers doing it. The tenant has moved out, someone else has been through the property, and nobody can prove anything.
In Crayon, a checklist item can require a photo before it can be ticked. The oven gets photographed at the point it's finished, and the photo is timestamped and attached to that job with the cleaner's name on it. When the call comes, you send the photos.
The effect is quieter than the dispute it settles: cleaners work to the list because the list is checked, and the office stops adjudicating between two people who both believe they're right.
A bond clean list is not a fortnightly list. Each job type carries its own.

TEAM AND SCHEDULING
Cleaners are assigned to jobs, and each one sees only their own run for the day on their phone: address, access, the checklist and any notes about the property. Regular customers keep their regular cleaner, and when that is not possible the replacement gets the same property details rather than a text at 7am.
When someone's running late or a job takes longer than booked, the office sees it on the schedule instead of hearing about it from the next customer. Reassigning a clean is a drag on the schedule, and the cleaner's phone updates.
A cleaner's day is shown in order with travel between jobs visible, so nobody is sent from Onehunga to Albany and back.

GETTING PAID
When a cleaner marks the job finished, the invoice is raised from the agreed price. No re-entering the week's work from a notebook.
Fortnightly customers can be charged automatically after each clean, which is the single biggest change to cashflow most cleaning companies make.
Set the window, 24 or 48 hours, and a late cancellation charges according to the policy the customer already agreed to at booking.

Yes. An end-of-tenancy clean uses a longer checklist than a regular domestic clean, covering oven, rangehood filters, window tracks, skirtings, wardrobe interiors and inside all cupboards. Each item can require a photo before it's ticked, and every photo is timestamped and attached to that job. If a property manager or tenant disputes the state of the property afterwards, the record is a set of dated photos rather than someone's recollection.
Crayon issues GST invoices and takes card payments directly, so you don't need a separate tool to bill customers. Accounting exports are available so invoice and payment data can be brought into your accountant's system. A direct Xero connection is on the roadmap rather than live today.
