THE WORK

Four kinds of job, four different sets of rules.

Most Australian cleaning companies run all of these at once, and each one prices, schedules and finishes differently. Software that treats them as one generic "job" is where the workarounds start.

Regular domestic cleans

Weekly and fortnightly cycles with the same cleaner where possible. Set the frequency once and every occurrence appears with the property's own details: bedrooms, gate code, the dog, where to park.

Deep cleans and spring cleans

One-offs that take two to three times as long as a regular clean and reach what a regular clean skips: inside the oven, behind appliances, window tracks, skirtings. Priced and timed as their own thing.

End of lease and bond cleans

Booked against an agent's exit condition report, with the bond held by a state authority rather than by the agent. Long checklist, tight deadline, and the one job most likely to come back at you a fortnight later.

Strata and body corporate

Common areas, lobbies, bin rooms and car parks on a fixed weekly scope, invoiced to the committee or the strata manager monthly. Same schedule as the domestic work, entirely different billing cycle.

A bond claim is decided on dated photos, not on your memory of a Tuesday.

Every Australian cleaning company that does end of lease work knows this call. Ten days after the clean, an agent says the oven was not done and the tenant is short on their bond. Your cleaner remembers doing it. The tenant has moved out, someone else has been through the property, and nobody can prove anything.

It matters more here than it does for a regular clean, because the bond sits with a state authority and a disputed claim can end up at a tribunal. What settles it is evidence with a date on it.

In Crayon, a checklist item can require a photo before it can be ticked. The oven gets photographed at the point it is finished, and the photo is timestamped and attached to that job with the cleaner's name on it. When the call comes, you send the photos.

TEAM AND SCHEDULING

Who's where today, without four phone calls to find out.

Cleaners are assigned to jobs, and each one sees only their own run for the day on their phone: address, access, the checklist and any notes about the property. Regular customers keep their regular cleaner, and when that is not possible the replacement gets the same property details rather than a text at 7am.

When someone is running late or a job takes longer than booked, the office sees it on the schedule instead of hearing about it from the next customer. Reassigning a clean is a drag on the schedule, and the cleaner's phone updates.

What software do cleaning companies in Australia use?

A common setup is a mix of a booking or job-management tool, a spreadsheet for rosters, a group chat for the crew and an accounting package for invoicing. Purpose-built cleaning software replaces the first three by holding recurring schedules, room-based pricing, cleaner assignments and photo-backed checklists in one place. What matters most in cleaning specifically is recurring cycles, per-room quoting and photo evidence, because those three are where generic job software tends to fall short.

How much does cleaning business software cost in Australia?

It varies with team size and what is included, and some tools charge per user, which gets expensive quickly for a company with a large casual crew. Crayon does not charge per user: Core is a flat monthly price covering up to five team members and Growth covers up to fifteen, so you move tier only when the team outgrows the one you are on. Founding pricing is A$155 a month for the first year, then A$309. Prices include GST.

Does it handle end of lease and bond cleans?

Yes. An end of lease clean uses a longer checklist than a regular domestic clean, covering oven, rangehood filters, window tracks, flyscreens, skirtings, wardrobe interiors and inside all cupboards. Each item can require a photo before it is ticked, and every photo is timestamped and attached to that job. Because the bond is held by a state authority and a disputed claim can go to a tribunal, what settles the argument is a set of dated photos rather than anyone's recollection.

Can it handle strata and body corporate work?

Yes. Strata work differs from domestic cleaning in that it is a fixed recurring scope on common areas, invoiced to the committee or the strata manager on a monthly cycle rather than after each attendance. Crayon runs both alongside each other: one schedule shows domestic cleans and strata sites, while the strata customer is billed monthly against the agreed scope.

Can it handle recurring cleans?

Yes. A recurring clean is set up once with its frequency, its regular cleaner and its property details, and the system generates each occurrence automatically. Skipping a week over Christmas, moving one clean without moving the rest of the series, and changing a fortnightly clean to weekly are all single actions. Each occurrence carries the property's own details, so a fill-in cleaner arrives with what the regular one knows.

Can customers book online?

Yes. Crayon gives a cleaning business its own booking page on its own domain, where customers choose a service, enter their property details and see a live price before confirming. Because the price is calculated from the same room-based rules the office uses, the figure a customer sees online is the figure that gets invoiced. Existing customers can also rebook, reschedule and pay through a portal without phoning the office.

Does it handle GST?

Yes. Prices shown to Australian customers include GST at 10 per cent, and invoices are issued as tax invoices showing the GST component separately, which is what a business customer needs for their BAS. A registered cleaning company can price and invoice inclusive throughout, so the number the customer is quoted is the number they pay.

Does it work with Xero or MYOB?

Crayon issues tax invoices and takes card payments directly, so you do not need a separate tool to bill customers. Accounting exports are available so invoice and payment data can be brought into your accountant's system. A direct connection to either is on the roadmap rather than live today.
